Frequently Asked Questions

Below are answers to a few common questions. If you don’t see your question here, call 516-385-5661 and we’ll be happy to help.

Why should I buy a time clock system from your company?

When you purchase a system from us, you’re not just buying a clock and software — you’re buying a successful implementation. Will Horan (founder and president) has over 25 years of experience in the employee time tracking industry and will personally help configure your system and train you on how to use everything.

That includes helping you set up the details that make payroll run smoothly, such as:

  • your pay rules (lunch rules, rounding, overtime, schedules, exceptions, etc.)
  • the reports you actually need each pay period
  • and the export workflow for your payroll provider (so you’re not manually re‑entering hours)

You’ll get friendly, hands‑on support from someone who has implemented employee time tracking systems across a wide range of industries, so you can roll out with confidence and get answers quickly whenever questions come up.

Why shouldn’t I just buy a time clock from my payroll service provider?

Payroll providers often offer time clocks as part of a bundled package. That can be convenient, but it can also create vendor lock‑in — if you ever change payroll providers, your provider’s time clock system will not work with the new provider without replacing it or implementing a custom workaround. That can force you to buy a new system, retrain your team, and re‑enroll employees.

We solve this by staying payroll‑provider‑agnostic. We can generate an export file (spreadsheet/CSV) at the end of the pay period that contains all employee hours, which your payroll provider can import.

That means you don’t have to:

  • buy a new time clock system
  • learn a new software program
  • re‑enroll all your employees on a new clock

If you tell us who you use for payroll, we’ll recommend the best export workflow for your provider.

How much does a biometric time clock system cost?

Pricing depends on a few factors such as the biometric method (facial recognition, fingerprint, or hand geometry), the number of employees, how many clocks/locations you need, and whether you choose cloud hosted or on‑premises software. If you call us or request a proposal, we’ll put together clear pricing based on your exact needs.

Do biometric time clocks really reduce “buddy punching”?

Yes. Because employees verify/identify using a biometric clock (face, fingerprint, or hand geometry), it’s virtually impossible for one employee to clock in for another.

How long does it take employees to punch in/out?

Verification/identification is typically very fast (usually under a second) so lines are minimized at shift changes.

We don’t want any of our data in the cloud. Do you have any solutions where our software and data can reside only on our local network?

Definitely! In addition to our CloudBio web-hosted solution, we have our on-premises solutions BioSoft Pro and BioSoft Ultra. The software and its database will reside on your local area network.

Some of my employees like to arrive at the shop early. They punch in on the clock but then eat breakfast and don’t begin working until their scheduled start time. I don’t want to pay them for eating breakfast. Can we prevent that?

Yes, we can set up rounding rules in the software so that they won’t get paid until their scheduled start time.

We conduct periodic reviews of tardiness. Can your software produce reports that will show this?

Yes, you can run a report for a date range of your choosing to quickly get a count of how many times someone came in late.

Can your software automatically pay my workers on a holiday?

Yes, we can configure pay rules to automatically pay workers on a holiday. Some of the rules we can configure include a minimum number of days of employment to qualify, whether or not they have to work their scheduled day before and/or after the holiday (to prevent a bunch of people from calling in sick on a Friday in order to get a four day weekend), and what happens if they work on a holiday (overtime, double pay, etc.).

We have some employees on a weekly pay period and others on a bi-weekly pay period. Can you accommodate this?

Certainly! We can set up separate Pay Policies for each group of employees to handle different pay periods.

We have a lot of employees. Sometimes people may forget to punch in or out, or may forget to punch out or back in from lunch. Is there an easy way to flag this so that we don’t have to go through every person’s timesheet one by one?

Of course! Missing punches do happen and our software makes this easy to catch. We have a special section which isolates and lists exactly these types of events so you can easily take the appropriate action.

We like to track many different pay categories such as Sick, Vacation, Personal Days, Bereavement, Jury Duty, and Family Medical Leave. Does your system have all these pay categories?

Yes, most of those are already standard within our software. You can also add any type of pay category you want by simply clicking on an “Add” button and creating a new category.

How hard is installation?

Most installations are straightforward. We can guide you through setup, configuration, installation, and training — and provide ongoing support.

Can you export to payroll service providers?

Yes, and that is one of the major benefits of choosing us. Many businesses switch payroll providers every few years. If you bought your time clock system from your payroll provider then it will not be compatible with another payroll system. Our time & attendance software supports exporting time data to many payroll providers; so you don't have to buy a new time clock if you switch providers. If you’re using a specific provider, ask us and we’ll confirm the best export method.

Is facial recognition touchless?

Yes — employees can punch in/out without touching a sensor, which many companies prefer for hygiene and convenience.

Do you provide technical support after purchase?

Absolutely! Personal service with fast response time is what we pride ourselves in. We are always available when you have a question or a problem. Visit our Tech Support page or call 516-385-5661.
